CopyArtwork connects customers with a professional artwork-production team through web and mobile applications. Customers submit files and job instructions, while the platform manages pricing, quotes, approvals, revisions, job status, file delivery, billing, and order history. Standard jobs are generally completed within approximately one business day, while rush services are available for selected order types.

The Challenge

Print and embroidery businesses regularly need artwork converted into production-ready formats, often across a high volume of repeat orders. CopyArtwork needed a reliable system that could manage artwork uploads, instructions, quotations, approvals, revisions, file delivery, billing, and customer communication without relying on disconnected manual processes. The platform also had to extend an established production system to mobile applications and new integrations without disrupting existing customers or historical data.

Key engineering challenges included maintaining and extending the existing Core PHP production platform, building a Laravel backend for the mobile applications, reusing the existing production database without interrupting the live website, handling large artwork uploads and multiple file formats, keeping web, mobile, administrative, and accounting data consistent, processing QuickBooks synchronization without slowing customer-facing requests, adding AI image generation to an established production system, and improving performance and reliability while preserving legacy workflows.

A Complete Artwork-Production Service

Customers can order logo vectorization, embroidery digitizing, color separations, clipping paths, background removal, and custom design work. They can upload reference files, provide detailed instructions, select available turnaround options, and submit complex work for quotation before production begins.

AI-Assisted Artwork Generation

CopyArtwork AI allows customers to describe an image in natural language and generate an initial artwork concept. Customers can download a generated image or send it into the existing vectorization, embroidery-digitizing, or custom-editing workflow. This connects AI-generated concepts with professional human editing and production preparation within the same platform. The feature is powered by OpenAI image generation and is available across the product experience that customers use on web and mobile.

Centralized Order and Revision Management

Customers can store their account and billing information, submit new orders, and track existing work through the Manage Jobs area. Jobs can move through quotation, approval, production, delivery, and correction workflows. When a request falls outside standard pricing, the customer can review and approve the quotation before the work proceeds.

Flexible Billing and Subscription Options

Customers can use pay-per-order pricing or select a monthly package for recurring artwork needs. The platform manages the applicable payment workflow, including Stripe-supported payment handling where configured, while QuickBooks Online synchronization supports invoicing and accounting operations. Custom work can be quoted for approval before production begins. Not every customer is billed in the same way: payment timing and method depend on the selected pricing arrangement.

Automated Accounting with QuickBooks Online

CopyArtwork integrates with QuickBooks Online to synchronize invoice information with the company’s accounting workflow. The integration uses OAuth 2.0 for authorization and processes synchronization through background queues so accounting operations do not delay customer-facing order and payment requests. Retry handling, scheduled workers, audit logs, and reconciliation tools help the team identify failed records and keep financial data consistent between the platform and QuickBooks Online.

Web and Mobile Access

CopyArtwork provides iOS and Android applications connected to the existing customer account and production workflow. Customers can submit artwork orders, review job status, approve quotes, request corrections, update account information, and contact the artwork team from a mobile device. Current app versions also include access to CopyArtwork AI.
